No single tool covers all phases. A typical DB/EPC estimating shop uses 3–5 tools, with different tools dominant at different phases. Excel is always present.

Tool Profiles

Section titled “Aspen Capital Cost Estimator (ACCE)”Best for: Chemical, petrochemical, food/pharma process-heavy industrial plants (Class 4–2)
- Model-based costing — builds estimate from process simulation outputs and equipment lists
- Integrates with P&IDs and PFDs; auto-generates equipment costs from process specs
- Location-adjusted estimates using built-in global location factor database
- Recently integrated with PlantStream 3D CAD for direct plant model → estimate workflow
- Steep learning curve — requires process engineering background to use well
- When to use: Any project where process equipment and utilities are >30% of TIC
Aspen In-Plant Cost Estimator
Section titled “Aspen In-Plant Cost Estimator”Best for: Small capital projects and modification work within an existing plant
- Simpler workflow than ACCE; does not require full process model
- Uses volumetric methods; one costing approach from concept to detail
- Good for tie-in scope pricing and small plant modifications
- When to use: Expansions adding to existing process systems; maintenance capital projects
Sage Estimating (formerly Timberline)
Section titled “Sage Estimating (formerly Timberline)”Best for: Commercial and industrial building shell + MEP estimating (Class 3–1)
- 30+ year market leader in construction estimating
- Pre-populated RSMeans cost databases integrated natively
- 2D and 3D digital takeoff; BIM integration (reads Revit models)
- Includes subcontractor bid management
- When to use: Building structure, MEP, site work — anything priced off CSI divisions 00–33
HCSS HeavyBid
Section titled “HCSS HeavyBid”Best for: Heavy civil work — earthwork, utilities, paving, site development
- Used by 42 of ENR’s top 50 heavy civil contractors
- Crew-based estimating with built-in productivity databases
- 30+ accounting system integrations
- When to use: Civil and site work scope on any industrial project
WinEst (Trimble)
Section titled “WinEst (Trimble)”Best for: Building contractors; database-driven cost management
- Strong cost knowledge management (internal rate books)

- When to use: If your firm uses the Trimble ecosystem for BIM/field tools
Procore

- When to use: If your firm uses Procore as the PM platform; best for estimators who need to track costs after award
Autodesk Construction Cloud / Autodesk Takeoff
Section titled “Autodesk Construction Cloud / Autodesk Takeoff”Best for: BIM-centric DB firms with heavy Revit/AutoCAD design workflow
- 2D and 3D takeoff directly from BIM model; native Autodesk ecosystem integration
- When to use: When the design team is producing IFC/Revit models and you want to extract quantities directly from the model
PlanSwift / Bluebeam Revu
Section titled “PlanSwift / Bluebeam Revu”- PlanSwift: Drag-and-drop digital takeoff; exports to Excel; good for estimators transitioning from paper
- Bluebeam: Industry standard for PDF markup; used for document distribution, RFI markup, and visual takeoff
- When to use: Every project for document review and sub package distribution
RSMeans Data Online (Gordian)
Section titled “RSMeans Data Online (Gordian)”Not an estimating platform — a data subscription used inside estimating tools.

Excel — The Universal Tool
Section titled “Excel — The Universal Tool”No matter what platform your firm uses, Excel will be used for:
- Bid leveling sheets
- BOE summaries
- ROM parametric models
- EVM tracking
- Custom risk register and contingency calculations
- Equipment lists and procurement logs
Key Excel skills for estimators:
- VLOOKUP / INDEX-MATCH (linking cost data to quantity sheets)
- Conditional formatting (flagging risks, highlighting variances)
- Pivot tables (summarizing estimate by division, sub, or cost type)
- PERCENTILE, STDEV (for contingency analysis)
